Who Can Do What

Wiz AI uses Odoo’s standard group system to control who can see and do what. There are two separate sets of groups — one for the AI Agent, one for the Odoo Helper. Each level includes the one before it. A normal employee with none of these groups sees no AI menus at all.

AI Agent Groups

User

The entry point: it lets a person chat with your approved agents in Discuss. Without it, a person cannot use an agent at all. On its own it does not show the AI Agent Client app, which starts at Agent Editor. Website and WhatsApp visitors need no group. Grant this to anyone who needs to interact with the agents.

Agent Editor (labelled “Admin Specific Roles” in Settings)

Can create and edit agents — their instructions, conversation starter, access rights and settings. It cannot see an agent's Documents tab, approve an agent (Approve & Go Live) or delete one. This is the level for someone who configures what agents do, but does not need access to the system-wide configuration or maintenance screens. The name in Settings is misleading; it is not a full administrator role.

Administrator

Full access: everything the Agent Editor can do, plus Approve & Go Live, each agent's Documents tab, Set Up AI Agents, Usage & Billing (Wallet & Plan, Messages, Token Dashboard), the Configuration menu (Connection and Registration Status, Plan & Pricing, Roles and Functions; its Settings entry also needs Odoo’s own Settings access), Agent Knowledge (the central document list), and the Maintenance screens (Ingestion Log, Audit Log, Template Updates).

Wiz Odoo Helper Groups

User

Can use the Helper and read published knowledge documents. This is the level for any staff member who needs to ask the Helper for guidance.

Administrator

Manages knowledge documents and configuration, and can read every user’s conversation transcripts. Odoo’s main Administrator has this role automatically. This is privacy-relevant — staff should know that a Helper Administrator can see what they have asked the Helper.

What a normal employee sees

If an employee has not been added to any of the groups above, they see no AI menus at all. The AI Agent Client app and the Wiz Odoo Helper app are completely hidden from them. They cannot use, configure, or even discover the AI features.

⚠  What an agent may do in Odoo is set on the Agent Access Rights tab on each agent’s form, plus, when it serves a signed-in user, that person’s own access. The groups on this page only decide who can use and configure agents.
